Refunds & Cancellation Policy

Version 1.0 · Last updated 14 August 2026

This policy explains how to cancel a Work Flow subscription and when refunds are available. It forms part of our Terms of Service.

In short: cancel any time yourself, in two clicks, with no penalty. You keep access until the end of the period you have already paid for. If something goes wrong on our side, we refund you.

1. Try before you pay

Every organisation can use Work Flow free for 15 days with full access to all features. No payment details are required to start a trial, and no charge is made during it. We encourage you to use the trial to satisfy yourself the service suits your needs before subscribing.

2. How to cancel

An administrator can cancel at any time:

  1. Sign in to Work Flow
  2. Open the Billing tab
  3. Click Cancel my subscription and confirm

No notice period is required and no cancellation fee applies. You will receive an email confirming the cancellation and the date access ends.

If you cannot access your account, email info@ha-assure.com and we will process the cancellation for you.

3. What happens after you cancel

4. Refunds

Monthly subscriptions

Monthly fees are charged in advance for the month ahead. When you cancel, you keep access for the remainder of that month. We do not ordinarily provide partial refunds for an unused portion of a month, because access continues for the full period paid for.

Yearly subscriptions

If you cancel a yearly subscription within 30 days of the payment, we will refund the full amount on request. After 30 days, we will refund the unused whole months remaining in the year on a pro-rata basis, on request.

Seat changes

If you reduce the number of seats mid-period, Stripe automatically applies a pro-rata credit against your next invoice. If you add seats, you are charged only for the remaining portion of the period.

We will always refund

5. Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. If the service has a major problem, you are entitled to a refund or to have the problem fixed, and to compensation for any other reasonably foreseeable loss. Nothing in this policy limits those rights.

6. How to request a refund

Email info@ha-assure.com from the administrator's registered address, including your organisation name and the reason for the request.

7. If you disagree with a decision

If you are unhappy with the outcome of a refund request, reply to our email and ask for it to be reviewed. We will look at it again and respond within 5 business days. We would always prefer to resolve a dispute directly with you than have you raise a chargeback with your bank.
